Please read and ensure that you understand the following paragraphs
as they are the conditions that you agree to on behalf of yourself and/or your group when you either sign the booking form or email your agreement.
Booking
Bookings can only be accepted on receipt of a completed booking form
accompanied by a deposit of €200 per person. Confirmation of your place(s) will be forwarded to you on receipt of the completed booking form and deposit.
Payment
The full price of the holiday must be
paid to Berlin Exploring at least 8 weeks prior to the departure date. If payment is not made by the due date then
Berlin Exploring reserve the right to cancel the booking and retain the deposit.
Changing your booking
Requests to change any detail in your holiday must be confirmed in writing. Changes will incur a €30 administration fee except
when there are additions to the number in a previously booked party.
Cancelling your holiday
Cancellation charges are as follows:
If you cancel your holiday more than 8 weeks before it is due to begin, you will lose your deposit.
If you cancel you holiday between 4 and 8 weeks before it is due to begin you will lose 40% of the cost of the holiday.
If you cancel you holiday between 2 and 4 weeks before it is due to begin you will lose 60% of the cost of the holiday.
If you cancel you holiday less than 2 weeks before it is due to begin you will lose 100% of the cost of the holiday.
All cancellations must be made in writing and signed by
the person who made the original booking. Where a holiday is cancelled please check your holiday insurance as it may be possible for you to reclaim any fees/deposits.
Complaints procedure
If you have a complaint during
your holiday please notify us immediately. All complaints are thoroughly investigated and we aim to settle all issues promptly and amicably.
Health insurance/Illness during your holiday
We advise you to check that your health insurance covers you in Germany.
In the event of any illness during your holiday, it is your responsibility to pay all doctors' fees, hospital expenses and repatriation costs. Berlin Exploring
is not liable for any refund of money paid.
Insurance
We recommend that you take out insurance
to cover cancellation, personal accident, illness or loss of possessions. Berlin Exploring cannot accept responsibility for loss or damage to your baggage, or for
illness or injury, nor public liability for any holiday arranged by us.
Parental responsibility
Parents or guardians undertake to accept full
responsibility and supervision of and for their children at all times.
Travel details
Arrival and transfer details
will be confirmed three weeks before your holiday is due to start or on receipt of your final payment, whichever is
sooner.
Provision of your holiday
We will provide the services which form part of the
inclusive holiday as confirmed to you. When we receive your signed booking form and return a deposit receipt this acts as
acceptance of the booking on the terms of these conditions. All holidays/walks advertised are subject to availability.
If we change your holiday
Occasionally, it may be necessary to change travel or holiday arrangements. We will
inform you immediately of any major changes. Should the same standard of accommodation not be available
then you will have the option to cancel your holiday and receive a full refund. Compensation payments do not apply to changes caused by
reason of war or threat of war, riots, civil strife, terrorist activity, industrial disputes, natural and nuclear disasters,
fire, technical problems to transport, closure or congestion of airports, cancellation or changes of schedules by airlines
and similar events beyond our control.
If we cancel your holiday
We reserve the right to cancel your holiday.
In this unlikely event we will return all money you have paid us or will offer you an equivalent holiday.
Our responsibility for your holiday
Our responsibility is to provide to a reasonable
standard of all component parts of the inclusive holiday you have booked with us, as described. If any such part is not provided in the
advertised manner, we will pay you appropriate compensation if this has affected the enjoyment of your holiday.
Rights of admission
Berlin Exploring reserve the unconditional right to
refuse a booking or to debar a person from a holiday in the event of conduct which in our reasonable opinion is
likely to cause distress, damage or annoyance to guests, employees, property or to any third party. This includes any
guest who fails to advise us of a medical condition or of a disability which prevents their full participation in a
holiday programme. If we are not informed in this way we cannot be held responsible for any inconvenience or costs
incurred by you and this may include our refusal to complete your holiday programme. Cancellation charges of 100%
would apply in these circumstances. Smoking is not allowed in any Berlin Exploring transport. If you ignore this condition,
you may be asked to leave the holiday programme.
